With the sudden surge of remote work, knowing how to write more efficient emails has become a valuable skill. Keep reading to discover how to write better emails when you work remotely.
Identify What Matters
The first rule of efficient emails is to not beat around the bush. Identify what’s the substance of what you want to say and, if possible, lead with that information after a brief greeting. Then close with a simple send-off. For example:
Hi Joanna,
You can download the files you need from the company’s server.
Regards,

An Effective Email Begins With a Great Subject Line
In an effective email every line matters, especially the subject line. A good subject line allows the other person to grasp immediately the essence of the message you want to convey. These are some ideas to write better subject lines:
- Keep it short (under 50 characters)
- Place the most important words at the beginning
- If there’s a deadline involved, include it
- Don’t use all caps; it’s the equivalent of screaming online
- Make sure to include keywords (this makes it easier to retrieve the email using the search function of an email service)
- If you need a response, indicate so in the subject line
Use Email Templates
If you find yourself answering the same type of email all the time, then you should consider creating a template. This way you’ll save time because you won’t have to figure out what to say—in fact, you won’t even have to type! Most email services allow you to create templates. For example, here are the instructions to do it on Gmail, and here’s how to do it on Outlook.
